How to choose the right PMS for your hotel


As rising costs and ongoing uncertainty in hospitality continue into 2026, hoteliers are under pressure to do more with less, while still delivering the kind of experience guests expect.


In response, many hotels are turning to technology to work more efficiently and meet rising guest expectations. At the centre of it all is the PMS. Choosing the right one is a strategic decision that can be a game-changer for the hotels that get it right.


Sarah Cade, director at Rezcontrol, shares her thoughts on what hoteliers should look for when considering a new PMS.


Features that actually matter

“More features and functions doesn’t always mean better.


“Beyond covering essentials like the front-desk, back-office, bookings and rates, what really matters is how well those features support the way a hotel actually operates. In working with hotels, we’ve seen that one-size-fits-all systems can create more headaches than they solve. You end up paying for lots of features you might never use, and all that added complexity can make the system harder to navigate.


“So it’s not always about how much a PMS can do, but what this means for your property - and it needs to be intuitive and easy to use.”


Why integrations make the difference

Moving on to integrations, she said: “A PMS can’t do everything, so it needs to connect with the tools a hotel already relies on, and be able to grow with the business over time.


“There’s a really broad range of integrations that most hotels will need, from OTAs and channel managers through to POS, accounting, HR, and rota management. That wider ecosystem is essential to keeping everything running smoothly day to day.


“Where it becomes more specialised is in areas like spa management or gifting, where requirements can vary more depending on the type of property and the experience they’re offering.


“The other thing to think about is what happens when something breaks. Some providers expect the hotel to figure it out, while others will manage it for you. And that makes a big difference. You can quickly find yourself with tickets raised across two or three different integrations, waiting for someone to resolve the issue. That kind of situation can be really frustrating for busy teams who just need things to work.”


The reality of PMS costs

When looking at cost, Sarah added: “One common thing we see is hotels overpaying for features they don’t use, so it’s really important to choose a system that fits what you need day-to-day.


“Fixed pricing will always be easier to plan around, but make sure you look beyond the monthly subscription fee before signing. It’s easy to get stung by setup and training costs, integration fees, and unclear contract terms.


“It’s also worth thinking about the long term. Are prices likely to increase? How long is the contract term and how easy is it to leave? Is support included, or charged separately?


“It’s something we’ve thought carefully about in how we approach pricing at Rezcontrol. Keeping things transparent and predictable just removes a lot of unnecessary friction for hotels.”


What good service and support looks like

“If your team doesn't feel comfortable using their PMS, it’s not going to deliver much value. That makes onboarding, training, and overall ease-of-use a key part of the decision. There’s often a lot of anxiety at the migration stage, especially when it comes to moving existing reservations. Hotels need to know nothing’s going to be lost and that their guests are looked after from day one.


“From there, it’s about how you’re supported as you get up and running. The best providers will guide you through onboarding with a structured setup and on-demand training, so your team feels confident using the system from the start.


And then once you’re live, things do go wrong, questions come up - that’s just the reality. At a time where many PMS providers are scaling back their support, it’s important to know that help is there whenever you need it.


“The very best providers take it even further, listening to customer feedback and using it to shape how the product develops over time, and making sure it meets users’ needs.”


More than a software purchase

Sarah concluded: “There really isn’t a more important technology decision you can make for your hotel than choosing a PMS. But remember that you’re not just choosing software, you’re choosing the people behind it too. The ones who understand how your hotel works, who support you when things don’t go to plan, and who grow with you over time.


“At that point, it stops feeling like a system, and starts to feel more like a partnership. And that’s usually where the real value comes from.”
