Making the most of your PMS in difficult times

The hospitality industry has never been short of challenges, but in the current climate of rising operational costs, wider economic uncertainty, and changing consumer spending habits, hotels are being tested more than ever. In this environment, every decision matters and every tool in your business needs to work as hard as possible.

Your property management system (PMS) should be working as hard as you do. Many hoteliers see their PMS as an operational tool, but a good PMS should do far more than that. In difficult times especially, it should be helping to reduce costs, generate revenue, and support strategic decision-making.

A good PMS can help you reduce costs in several ways. Staffing is typically the biggest outgoing for any hotel, and automation can make a real dent in that. When your PMS automatically handles tasks like check-ins and check-outs, guest communications, and housekeeping schedules, it takes fewer hours to run the same operation. That means you can do more with the team you have, without needing to bring in additional resource as demand grows.

Behind the scenes, having your billing, live inventory management, and booking admin in one place saves time that would otherwise be spent switching between systems and processing things manually.

Then there’s distribution. OTAs are a key part of any hotel’s strategy, but with commissions typically sitting at between 15-25% of booking value, every direct booking helps. A PMS with a built-in direct booking engine means guests can book straight through your website, saving on commission fees and keeping revenue where it belongs. It also creates a smoother experience for guests, building confidence from the very first interaction. Together, these benefits quickly add up.

The revenue upside is just as real. A PMS becomes more powerful when it sits at the centre of a connected technology stack. For example, a PMS that connects with a revenue management system takes the guesswork out of pricing by automatically adjusting rates based on demand, seasonality, and booking patterns. So every room is always priced to perform. Complementing this, rate management tools also give hoteliers instant access to pace reporting, making it easy to track performance over time. Whether that’s year-on-year, seasonal trends, or specific date ranges, it helps make more informed pricing decisions.

Integrations with gift voucher platforms, meanwhile, can bring in bookings and help you reach new audiences who might not have found you otherwise. Within each stay, there’s also real money to be made from upselling. With the right PMS, it can be done at every stage of the guest journey - from early check-in at the time of booking, to spa treatments in the days before arrival, and dining reservations at the property itself. Without a system prompting and tracking these, you could be missing out on 15-30% of extra revenue per stay.

Beyond the stay itself, automated guest communications such as pre-arrival messages, post-stay follow-ups, and targeted promotional emails make sure guests think of you first next time they’re going away, encouraging repeat bookings. From smarter pricing to repeat bookings, a good PMS helps you unlock commercial opportunities that would otherwise take a lot more time, money, and effort to achieve.

During busy periods, visibility is everything. Having a clear view of performance  means you’re always ready to spot inefficiencies and make the most of new opportunities. A good PMS gives you detailed reporting  on the metrics that matter most, like RevPAR, labour costs, and booking patterns, making it easier to  see what’s working, address what isn’t, and act quickly.

The guest data your PMS holds is valuable too. Knowing who your guests are, what they spend, and when they tend to book means you can reach out to the right people at the right time, with offers that are actually relevant to them. That’s a much cheaper way to drive repeat bookings than relying on OTAs or paid marketing.

A PMS that puts these insights at a hotelier's fingertips puts the business firmly in control.

The hotels that come out strongest in tough times are the ones using every advantage available to them. Your PMS should be one of your hardest working assets, cutting costs, driving revenue, and giving you the visibility to stay one step ahead.
